This Privacy Notice explains how Virtus Tutors (“we”, “us”) handles personal information when you use this website or our services. Virtus Tutors is a trading name of Veritas Gaming Ltd, registered in England and Wales, company number 14942374, and is registered with the Information Commissioner’s Office.

1. What we collect
We aim to collect the minimum personal data required to communicate with you and provide tutoring services.
- Contact details (e.g. parent/guardian name, email address, phone number)
- Student details you choose to provide (e.g. year group, subjects, target grades)
- Scheduling and session information (e.g. availability, booked sessions)
- Communications (emails/messages you send to us)
Please avoid sending sensitive personal data unless it is necessary and you are comfortable doing so.
2. How we use your information
- To respond to enquiries and arrange an assessment call
- To schedule, deliver, and manage tutoring sessions
- To provide updates and progress feedback to parents/guardians
- To administer payments (handled outside the website via bank transfer or PayPal)
- To understand which pages are used, via cookieless analytics that store nothing on your device
3. Booking and third-party services
We use these providers to run this website:
- Vercel: Hosts the site and provides cookieless visitor analytics.
- Google: Carries our email and stores enquiry records.
- Microsoft: Provides Microsoft Teams, where lessons take place. Microsoft processes information about the call (that it happened, when, and for how long) under their own terms. We do not switch on recording, transcription or attendance reporting.
- WhatsApp (Meta): If you choose to message us on WhatsApp, that conversation happens on Meta's platform and is processed under their terms, not ours.
We recommend you review any third-party service’s privacy information before submitting personal data.
Information about children
Our enquiry form asks for a child’s school year, the subjects they need help with, and the grade they are working towards. It does not ask for their name, age or date of birth.
A parent or guardian completes the form on the child’s behalf. How that information is handled, who sees it, and how long we keep it are set out in our tuition enquiries privacy notice. Once a child begins lessons, their record is covered by the student privacy notice.
If you are outside the United Kingdom
We teach online and take enquiries from families in other countries. Veritas Gaming Ltd is based in the United Kingdom and handles your information under UK data protection law. Our providers may store or process information outside the UK, and where that happens we rely on the safeguards those providers have in place.
4. Legal basis (UK/EU-style summary)
We process personal data for one or more of the following reasons:
- Consent (e.g. you choose to contact us or submit information)
- Contract steps (e.g. arranging and delivering tutoring services)
- Legitimate interests (e.g. running and improving our services)
