Tuition enquiries: privacy notice

Last updated: 2 October 2026. We may update this notice from time to time; the date shown here reflects the latest version.

Who we are

Virtus Tutors is a trading name of Veritas Gaming Ltd, registered in England and Wales, company number 14942374. Veritas Gaming Ltd is the data controller for the information you give us on the tuition enquiry form, and is registered with the Information Commissioner’s Office.

For anything to do with your information, including asking to see it or have it deleted, email hello@virtustutors.com.

What this notice covers

This notice covers the tuition enquiry form on this website. Everything else (browsing and analytics) is covered by our Privacy Policy.

What we ask for, and why

When you send an enquiry we collect your name, your email address and, if you give it, your phone number; your child’s school year; the subjects you are interested in; the grade you are working towards, if you tell us; and anything you write in the message box.

We use it only to answer your enquiry, arrange a free assessment call, and contact you about tuition.

We do not ask for your child’s name, age or date of birth. School year is all we need in order to talk usefully about the right course of study. If your child goes on to have lessons with us, we will ask for their first name then.

What the form records automatically

So that we can respond to your enquiry appropriately and understand which parts of our website are useful to visitors, our enquiry form records the date and time your enquiry was submitted, the timezone reported by your browser, the page of our website you submitted the form from, and, where available, the website or page that referred you to us. We use this information to help us respond to enquiries and understand how visitors find and use our website.

To stop our form being abused, we also keep a short-lived, one-way scrambled version of the network address you submitted from. We cannot read the original address from it, and it is used only to spot repeated automated submissions.

None of this identifies your child, and we do not use it to build a profile of you.

Our lawful basis

We process this information to take steps at your request before entering into a contract: UK GDPR Article 6(1)(b).

Where the information concerns your child, you provide it to us as their parent or guardian. The form is for adults to complete.

Ticking the box on the form confirms you have read this notice. It is not the basis on which we process your information, and you lose no rights by ticking it.

The message box: please don’t send medical detail yet

That box is for practical things: what your child is finding difficult, which topics worry them, what you are hoping tuition will achieve.

Please don’t include medical or diagnostic information at this stage. If lessons go ahead, we will ask about any practical adjustment that helps your child learn. We do not need the diagnosis behind it, and we would rather not have it.

Whatever you write in that box reaches us by email only. It is never copied into our enquiry spreadsheet, and we delete it as soon as your enquiry is closed or has become a booking, sooner than anything else on this page.

Where it goes, and who sees it

Your enquiry is recorded in a spreadsheet in a restricted folder, available only to named people who need it. What you write in the message box is never copied there. It stays in the email.

We send two emails when you submit the form: a notification to us, and a confirmation to you so that you have a record of what you sent.

We use these providers:

  • Google: stores the enquiry record and carries our email
  • Vercel: hosts this website, receives the form, and provides cookieless visitor analytics

Your enquiry is never used for advertising, and we never sell or share it.

If you are outside the United Kingdom

We teach online and take enquiries from families in other countries. Veritas Gaming Ltd is based in the United Kingdom, and your information is handled under UK data protection law wherever you are.

Our providers may store or process information outside the UK. Where that happens we rely on the safeguards those providers have in place for international transfers.

If local law where you live gives you additional rights, email hello@virtustutors.com and we will do our best to help.

How long we keep it

  • What you wrote in the message box: deleted as soon as your enquiry is closed or has become a booking.
  • The rest of your enquiry, if your child doesn’t have lessons with us: deleted 12 months after we last spoke.
  • The scrambled network address: deleted within hours; it is never stored with your enquiry.
  • If your child does have lessons with us: the enquiry is deleted and the information becomes part of their student record, which has its own notice.

Your rights

You can ask us for a copy of your information, correct it, delete it, restrict or object to how we use it, or ask for it in a portable form. Email hello@virtustutors.com and we’ll respond within one month.

When you ask us to delete, we remove it from the spreadsheet, from that spreadsheet’s version history, and from the enquiry emails.

If you’re unhappy with how we’ve handled your information you can complain to the Information Commissioner’s Office at ico.org.uk.
